Position Summary
The Operations & Facilities Management Department at Washington University School of Medicine is committed to delivering a comprehensive range of services to support the medical campus.
We oversee maintenance and operations for 65 buildings, covering more than 10.1 million gross square feet of space. This includes the 11-story, 609,000-square-foot neuroscience research building, which houses one of the worldâ™s highest concentrations of neuroscientists. Our responsibilities include operational and administrative support, strategic planning, and project management.
Furthermore, as the School of Medicine continues to expand its presence both on and off campus in areas such as teaching, clinical care, and research, our team remains instrumental in ensuring the seamless delivery of clinical care, advancing research initiatives, and facilitating educational endeavors.
Manages all operations of the assigned, residential property (multiple buildings), having a fitness center, shared event space, and other amenities, located on the WUSM Campus. Tasked with the smooth running of our community in a fast-paced environment, overseeing and/or coordinating all operations including lease administration, tenant liaison, event space scheduling, maintenance, capital improvements, custodial, budgeting, forecasting, reporting, collections, evictions, vacancy anticipation, marketing, lease renewals, expense control, lease file audits, etc. The on-site Property Manager is preferred to live on-site in a University-provided apartment unit.
Job Description
Primary Duties & Responsibilities
Leasing
- Lead aspects of leasing residential market-rate units, including, on behalf of the University and/or its affiliated companies, negotiating and executing leases, lease renewals, notices, move-ins, and move-outs and accurately accounting and updating the systems used to effectively manage the property.
- Develop and maintain effective telephone, greeting, closing, and follow-up skills. Answer incoming telephone calls, respond to email leads, schedule, and walk-in traffic, conduct follow-up with all inquiries, and record all activity into property management software. Maintain Guest Welcome Cards and follow up with all prospects and leads.
- Maintain relationships with area corporations and real estate brokers to generate new business.
- Direct and coordinate on-site suites for WUSM Admissions Recruiting and hotel-style stay guests.
- Collaborate with senior leadership to develop the Leasing and Marketing Plan and sales strategies to achieve budgeted occupancy for the property.
- Develop a Resident Retention Plan including customer satisfaction, communications, and resident events.
- Maintain the propertyâ™s social media campaigns i.e.: Facebook, Twitter, Pinterest, etc.
- Oversee the administration of processing the rental application, general correspondence, and resident files.
- Ensure compliance with Fair Housing Guidelines, Fair Credit Reporting Act, Americans with Disabilities Act, and other laws and regulations governing multi-family housing operations.
Financial
- Drive financial performance of property through an understanding of how operational decisions impact financial results; understand the financial statement and all required financial reports.
- Implementation of effective cost control, revenue maximization, and delinquentsâ™ management.
- Develop, along with senior leadership recommendations on unit pricing based on industry knowledge and extensive market research.
- Post all rental charges and adjustments.
- Review invoices for accuracy and calculate/approve security deposit refunds to residents, providing both to accounting for timely processing.
Leadership

- Monitor a wide array of performance metrics, implement strategies to meet operational and leasing goals, analyze and respond to changing market conditions, and identify areas for improvement.
- Involved in planning long and short-term business objectives.
- Represent the University and/or its affiliated companies in handling complaints, arbitrating disputes, or resolving grievances.
- Investigate and resolve matters of significance on behalf of the management team.
Customer Service
- Manage all resident relations activities.
- Generate computerized work orders from resident contacts; answer questions and follow up to keep residents informed.
- Follow up with residents with a Satisfaction Survey â“ making sure the work was done to their satisfaction.
- Direct and coordinate the turn process with the maintenance team â“ ensuring all units are ready for move-in; inspection, lease paperwork, and communications to the new residents.
- Inspect buildings and vacant apartments weekly to ensure they meet standards.
Other duties as assigned.
Working Conditions
- This position will frequently be on the properties.
- Seasonal weekend work may require flexible day off scheduling and extended work hours may be required from time to time.
Preferred Qualifications
- Certified Apartment Manager (CAM) or Accredited Resident Manager (ARM) strongly preferred.
- Customer relationship development experience is a plus.
- Property management experience for a minimum of two years with demonstrated sales experience.
- Additionally, experience leasing a new development from being placed in service to obtaining stabilized occupancy is desired.
- Effectively convey ideas, images, and goals to a diverse group of personalities.
- Competence in personal computer skills, keyboard, internet, math, Microsoft Office â“ including Word, Excel, and Outlook.
- As well as community software applications.
- Demonstrated effective verbal, written, and interpersonal communication skills and an enthusiastic attitude.
- Demonstrated effective organizational skills are required, as well as the ability to follow up on tasks and work independently without close supervision.
- Ability to serve as a courteous and professional representative and have the ability to multi-task and manage deadlines.
- Ability to display the OFMD Core Values of Professionalism, Respect, Integrity, Dedication, and Excellence at all times.
- Proficiency in using computers is critical.
Required Qualifications
- Bachelorâ™s degree or equivalent plus three yearsâ™ property management experience with demonstrated sales experience is required.
- Knowledge and compliance to Fair Housing laws.
- All leasing personnel must possess a valid vehicle operator's license.

Salary Range
$48,700.00 - $80,500.00 / Annually
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
