  • Expense Reporting:
  • Prepare and submit expense reports for the SVP. 
  • Calendar Management:
  • Manage the SVP's calendar and schedule meetings. 
  • Request travel arrangements from Travel Inc for the SVP. 
  • Internal company system (SORT) Administration:
  • Add new users to the SORT system. 
  • Create Excel and PowerPoint reports, including 2-page summaries. 
  • Review and manage inactive users within SORT. 
  • Generate and manage reports from the SORT system. 
  • Office Supplies, Facilities and Orders:
  • Manage supply orders and business card orders. 
  • Review and manage facilities inquiries and requests for Plymouth, MI building.
  • Coordinate facilities tours to the Plymouth building team.
  • Meeting and Event Coordination:
  • Set up meetings and lunches for various events including Material Congress, Innovation Fair US, DFSS training, and Leadership Workshops. 
  • Coordinate team-building events for the SVP. 
  • Onboarding:
  • Assist with new hire setup and onboarding processes. 
  • Team and Office Management:
  • Track vacations for the SVP team. 
  • Manage office space seating arrangements. 
  • Update SORT for alignment meetings and project reviews. 
  • Manage miscellaneous administrative tasks including visual 5S items. 
  • Administrative Support:
  • Process Adobe Signature requests. 
  • Prepare and analyze metrics reports. 
  • Manage billing and monthly capacity reports. 
  • Track Testing project hours from project leaders. 
  • Record SORT time from capacity reports. 
  • Mail and Communication:
  • Sort and distribute incoming mail. 
  • Send out relevant communications and updates. 
  • Project Support:
  • Assist with projects assigned by VP’s, including technology roadmap updates, Bridge/BI system updates, and consolidating whiteboard items from meetings. 
  • Update calendars with holidays for the US, Germany, and Malaysia. 
  • Prepare PowerPoint documents for SORT training sessions. 
  • Additional Responsibilities:
  • Facilitate resolution on customer topics between FST departments
  • Occasional travel may be required.
  • All other duties as required.

Qualifications arrow_right

  • Minimum Qualifications : Associate degree (various disciplines) or 5+ years comparable experience.
  • 3-5+ years’ experience interfacing with Senior and C Suite Level Executives.
  • Strong verbal and written communication skills in English is required. 
  • Intermediate to advanced Microsoft Excel skills including Pivot Tables, Name Manager, VLOOKUP, Index, and basic VBA to support creating reports.
  • Advanced Microsoft WORD skills.
  • Strong organizational skills with a high attention to detail.
  • Ability to travel domestically or internationally to host events as required (10%).
