Job Summary:

This Assistant Property Manager will report to the Property Manager with a dotted line to the General Managers at Grand Lodge and Lodge at Mountaineer Square and will manage all Vacation Rental units (currently 388 units Plaza, LMS, GL and offsite) and all Homecare Agreements including revenue budgeting, monthly financial analysis, contractor/vendor coordination, property inspections, etc. Responsible for guest service function for all homeowner guests and homeowners and assisting with questions and concerns while adhering to all VRI standards. Will work as general manager for all contracted rental owners.

 

Duties and responsibilities include homeowner liaison and administrative support for GM of Grand Lodge, Lodge at Mountaineer Square and Plaza.

Job Responsibilities:

  • Develop and maintain strong service-oriented relationships with vacation rental and homecare homeowners - making them feel welcome and important.
  • Fields all IQWare, phone calls and owner email requests for Grand Lodge, Lodge at Mountaineer Square, Plaza and PM.
  • Homeowner Liaison - Regular communications, scheduling of maintenance/cleaning, posting maintenance and cleaning charges in OVL, problem solving
  • Conduct unit inspections on a regular basis, focusing on cleanliness, preventative maintenance and owner compliance with rental rules and regulations; maintain inspection documentation and communicate notable findings to GM's.
  • Maintain existing rental contracts and work to gain additional inventory working with GM, CAM and Director of Lodging.
  • Local realtor’s relationships – potential buyers – owner portal documents – title and lender questionnaires.
  • FAQ – revenue history by unit size by property for prospective buyers
  • Unit sales – change of ownership – send out welcome packets
  • Assist homeowners with sign on to IQWare issues, statement issues, payment questions, online owner bookings
  • Pro-actively identify homeowner, vacation rental guest needs, and coordinate with departments to ensure they are met, actively encourage and implement ideas and innovative thinking.
  • Communicate between rental program participants and property management on a variety topics including homecare, preventative maintenance, housekeeping and overall homeowner interests.
  • Respond to vacation rental and homecare owner requests in a timely manner
  • Inform new and existing homeowners of rental program in an effort to secure as many rental contract agreements as possible, maximizing available inventory to sell. After contract executed GM’s will turnover onboarding of vacation rental owners
  • Build and strengthen relationships with owners to keep them in the rental pool
  • Work with owner to update their unit if possible in a highly organized manor.
  • Oversees leasing of 7 affordable and employee housing units – leases
  • Overseeing CBMR homecare program
  • Assist Director of Lodging, GM, HOA manager from time-to-time
  • Other duties as assigned.

 

Job Requirements:

  • Valid driver's license-required
  • Proficient on Microsoft applications
  • Able to communicate effectively with guests and homeowners with diplomacy and tact
  • Able to lift up to 25 lbs.
  • Resumes required
  • In-person interviews required
  • High school diploma or equivalent required. College degree preferred.
  • Sale Force, IQWare, Association Voice, MS Office required. LMS/SMS or other reservations software preferred.
  • Communicate professionally in English, both written and verbal.
  • Must be personable and comfortable speaking with homeowners, guests and employees.

 

The expected pay range is $20.00 - $26.44. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
